Accessorial charges cover services or shipment conditions outside the quoted standard transportation service. Ask which charges are included, which depend on events at pickup or delivery, and which terms apply before accepting a quote.

Common items to discuss

Examples include liftgate service, residential or other non-standard locations, inside delivery and time-specific service. Waiting beyond an agreed allowance, a failed delivery attempt or corrected shipment measurements can also lead to added charges. The applicable definitions and amounts depend on the carrier and the shipment agreement.

A liftgate helps move freight between the vehicle and ground level. It does not by itself establish that the driver will move the shipment inside the building. Confirm the exact unloading and delivery scope, including equipment suitability for the packaged load.

Describe the facility, not just its address

A street address does not explain how freight gets from the trailer to the receiving area. Ask the receiver to describe the entrance, dock, unloading equipment and hours. Include any check-in process or appointment requirement in the booking request.

For an unfamiliar destination, have one person at the receiving site confirm those details. Record their name and contact information. This gives the shipping team a clear point of contact when the plan needs clarification.

Separate confirmed services from possible events

Make two columns in your shipment notes: services you know are required, and situations that might occur. Put a requested liftgate in the first column. Put a possible appointment change in the second, then ask how that change would be handled under the quote.

This distinction makes the discussion more useful than simply asking whether a price is 'all-in.' Ask the specialist to identify the assumptions behind the price and any events that could change it.

Questions for the quote review

  • Are pickup and delivery appointments included where required?
  • What unloading assistance and equipment have been requested?
  • What waiting allowance and billing basis apply to this shipment?
  • How are changes to the delivery location or service approved?
  • Who should receive notice if an additional service becomes necessary?
  • Which records should be retained to review a later adjustment?

Keep a record from booking through delivery

Save the accepted quote, confirmed requirements, shipment measurements and written changes together. Ask the receiving team to pass along arrival and completion information promptly so the shipping record is complete.

If an invoice differs from the quote, compare it with the agreed service and the actual shipment events. Ask for an explanation of the adjustment and supporting records. The goal is a clear, documented shipment plan—not a promise that every extra charge can be eliminated.
